Meetings:

Roles & Accountability:

  • Tammy’s Position: Currently serving as office manager, paralegal, and assistant; role clarity and workload balance are needed.

  • Accountability Chart suggested to define responsibilities more effectively.

Performance & Development:

  • KPIs & Job Descriptions: Essential for attorneys, paralegals, and receptionists; each role will have measurable goals.

  • Performance Reviews: To be implemented firm-wide 4th quarter 

  • Attorney Development: Growth and development questions will be sent to attorneys for self-reflection and planning.

Growth & Expansion:

  • Strategic Goals for the Year:

    • Implement a case management system - Smokebll

    • Expand PI case intake.

    • Grow Illinois' medical malpractice (more favorable fee caps compared to Iowa).

  • Intake Process: Needs better standardization and parameters for case acceptance.

Financial & Benefits:

  • Legal Fee Structures: Iowa capped at 33%, Illinois capped at one-third fees but no damages cap; Illinois is seen as more favorable for growth.

  • Health Insurance & Benefits: Discussions ongoing with accountants on 401(k) and reimbursement caps; addressing team needs is a priority.

 Survey Results and Challenges

  • Issues with phones - still ongoing to seek resolutions
  • Workflows - need to systemize key processes (start with med-mal)
  • Review intake and streamline
  • Improve the systemization of calendaring systems
  • Improvement of delegation and clarification of the responsibilities of the office manager, assistant, and paralegal (including issuing of checks from trust account/balancing account)
  • The issue of Tammy being paid a salary versus hourly
  • Improve notification of when records come in 
  • Improve standardization and workflows on personal injury so that not different ways of doing things depending on the attorney you are working with (improve car collision standards)
  • Review benefits for the team - and agreement on benefits for the team  -re-enrollment in October/November - Andrew 
  • Review and make suggestions for job descriptions for attorneys
  • Create KPIs for Gabby

  • Create Performance Review Forms - with KPIs and value evaluation
