For You/Your Team:

Jennifer Gogert:

  • Jennifer to confirm billing setup with Tracy: PI = contingency vs time-based on hold; all others fixed fee? (This was conflicting guidance.)
  • Jennifer to send attorney's hourly rate sheet (by attorney + practice area) to support attorney-specific intake forms.
  • Jennifer to investigate and fix Smokeball conflicts check (migration gaps; ensure searching parties return clients/matters, not just documents). Propose an interim and long-term fix.

Shanna Perron:

  • Shanna to send the current intake form to James (for a possible fillable version).
  • Shanna to document the trust-payment link process (how to generate/send the trust portal link vs operating portal) and share with the team.
  • Shanna to provide the current “automatic decline” referral list (generic, by practice area—no bespoke referrals).
  • Team, please note that if the front desk keeps initial calls, finalize the handoff to the on-call paralegal process (script + transfer steps).

Mind Over Law Team:

  • Lexlee to draft the step-by-step intake workflow from today’s notes and translate it into Smokeball tasks/stages.
  • Lexlee to edit the client-facing intake email template language (replace Smokeball’s default copy).
  • Lexlee to decide & document the assignment model (daily “on-deck” vs rotation) after Jennifer weighs in; lock rules for PI vs other practice areas.
  • To schedule a follow-up session to review the built workflow with the team (after James’ first build).
  • To build the Smokeball workflow from Lexlee’s outline (lead creation → triage → schedule consult → fee agreement → payment → homework).
  • To confirm if Smokeball can email the assigning attorney from the lead (for gray-area reviews) and, regardless, add a follow-up task for the paralegal.
  • To convert Shanna’s payment authorization into a fillable form (if approved) and advise on signature/acknowledgment options inside Smokeball forms.
  • To configure intake forms in Smokeball (internal call-script version for staff + client-facing versions by practice area/attorney rate).
  • To set up/verify reports (new matters, open/closed by attorney, leads converted) and quick views for Shanna/paralegals.
