  • Billing Training and Recognition
    • The firm will hold a billing training session on November 10 at 3 PM Central to improve billing accuracy, consistency, and accountability.
    • The team celebrated a major win, the firm ranked #18 in the Law Firm 500, reflecting strong growth and overall performance.
  • Emphasis on Complete Time Tracking
    • Lexlee emphasized the importance of tracking all time, including billable, administrative, and PTO, to create a clear and accurate picture of productivity.
      Attorneys must proactively record their time daily, not just at the end of the week or month.
    • Tools like timers, reminders, or automated background tracking software will be encouraged to reduce missed time entries
  • Policy and Accountability Improvements
    • The firm will adopt a clear “Stop Work Policy” to ensure billing stops when client retainers are exhausted, avoiding unbilled work.
    • Weekly billing performance reviews will be implemented to identify attorneys who are behind and provide targeted coaching.
    • A PTO tracking category will be added in the billing system to differentiate paid time off from administrative or non-billable work.
  • Performance and Culture Shift
    • Lexlee highlighted the need for a mindset shift among attorneys and paralegals, from reactive to proactive billing habits.
    • A team productivity contest will be launched to increase engagement, motivation, and collections performance.
    • Lexlee will lead weekly coaching sessions for team members who need extra billing support. 
  • Next Steps and Deliverables
    • Lexlee will prepare and send training slides and materials to Mandy for review before the training.
    • Mandy will provide finalized written billing policies, including a stop-work policy, to be incorporated into the training content.
    • The team will work collaboratively to adjust billing report formats for greater clarity and actionable insights.

Attorney Productivity: 

  • We will review time and billing reports and discuss the plan for training and optimization with Breckenridge at the next meeting. 

Hiring and Onboarding

  • Need to hire another senior attorney litigator
  • Hiring of an Executive Assistant for the next six months
  • Onboarding of Dominic and the increase in the rate considered for 2026
  • Onboarding of Client Intake - will review with Breckenridge
  • 2026 hiring of another paralegal
  • 2026, possible promotion internally of Melanie to Managing Attorney

  • Assess and redesign the client intake process to ensure consistency and improve conversion rates.
