Project Updates:

1. Clio Grow Will Replace the Lead Tracker

  • The team agreed to test Clio Grow for one month as the primary tool for lead tracking and reporting.

  • If effective, it will fully replace the current spreadsheet tracker, eliminating formula issues and streamlining the process.

2. Key Metrics to Track

  • Contracts sent and signed will be added to understand conversion rates.

  • “To Be Determined” leads and unqualified leads will also be tracked to understand the pipeline better and improve qualification.

  • Conversion rates by individual team members (e.g., Jacqui, Alex) will be reported.

3. Customization and Reporting

  • Grace confirmed that Clio Grow can be fully customized to include all required metrics and reporting views.

  • She will also run reports and continue to refine features as needed based on team feedback.

4. Training and Integration

  • A new intake person will be trained on Clio Grow from the outset, marking a key shift in the onboarding process.

  • Clio Grow will serve as the single source of truth for client and lead information, including email addresses and other contact info for future marketing and email campaigns.

5. Data Migration & Cleanup

  • All past leads from the old tracker need to be imported into Clio Grow.

  • Email addresses and contact information of past clients and leads must be gathered and uploaded for upcoming campaigns.

6. Follow-Up Plan

  • The team will reassess Clio Grow in one month to decide whether it fully meets their needs.

  • Feedback and reporting data will guide whether the transition becomes permanent.

  • Suggested using the lead tracker temporarily while testing Clio Grow.
  • Grace to ensure (or help ensure) that all client information (addresses, past leads, etc.) is in Clio Grow for email marketing integration.
  • Grace to mirror the existing lead tracker in Clio Grow (including “unqualified leads,” “to be determined,” and conversion rate columns).
  • Grace to run a report in Clio Grow to show the number of “to be determined” leads by month.
  • Grace to customize reports in Clio Grow to show conversion rates (e.g., contracts sent - signed) per team member.
  • Grace to export the email addresses/client & lead data from past leads or calls so it can be used for newsletter/email campaigns.
  • Grace to continue to refine and test Clio Grow to meet the team’s lead‑tracking and reporting needs.

Mind Over Law Team:

  • Lexlee to monitor the testing period (one month) and lead the assessment at the end of the trial.
