  • Investigate and attempt to generate phone log reports from Clio for the relevant time window to share with Jacqui.
  • Begin transitioning day-to-day client management and communication tasks to Alexa and Shauna as directed, and support their training as needed.
  • Begin supervising Alexa with a focus on proactive mentorship and the development of critical thinking, rather than only answering questions as they arise.
  • Stop shadowing Alexa during calls and instead schedule set times for questions to encourage Alexa to develop independent problem-solving.
  • Be prepared to relinquish payment plan setup and follow-up to Alexa, with oversight as needed, to further reduce direct client management tasks.

Collaboration

  • Jacqui, Lexlee, Gracie, Shauna, Alexa: As a team, discuss and develop a plan for dividing client management responsibilities between Shauna and Alexa, including case assignments and necessary training.
  • Jacqui, Lexlee, and Gracie: Determine specific client management tasks that can be transitioned from Gracie to Alexa and Shauna, and outline a training plan for knowledge transfer.
  • Jacqui, Lexlee, Gracie: Ensure that cases with multiple matters (e.g., felony and VPO) are set up as separate matters in Clio for accurate tracking and management.
  • Jacqui, Lexlee: Determine if/when a new intake/admin person will be hired as Alexa transitions into more client management responsibilities.
