  • Need for Process Clarity
    There is an urgent need to create clear, simple, and standardized processes for handling immigration cases, particularly those involving U and T visas.
  • Start with High-Impact Areas
    U Visa and T Visa cases will be the initial focus due to their complexity and volume.

  • Lead Follow-Up is Overwhelming but Critical
    Luis is actively working through a large backlog of leads (200+), many of which have missing contact information. He's moving unresponsive ones to a “stop list,” following Sabina’s instructions.
  • System Clean-Up is Underway
    There’s a clear need to clean and organize the lead database. Lexlee emphasized the importance of ensuring accurate notes and statuses in the communication logs and pipelines.
  • Communication Platform Shift Proposed
    Lexlee is pushing to transition all team communications from Microsoft Teams to MyCase for more streamlined, case-specific dialogue and task management.
  • Cecilia’s Workflow Execution
    She’ll be responsible for opening cases and initiating workflows once Luis notifies her of signed quotes.

    • Lexlee updated Silvina on active marketing improvements, including:
      • Meetings with Mateo and Megan to launch Local Service Ads and improve the Google Business Profile.

      • Ongoing interviews for a social media specialist to enhance brand visibility and client engagement.
      • Silvina emphasized focusing on cost-effective strategies and ensuring measurable ROI.
  • Staffing and Hiring Strategy
    • They discussed hiring an experienced paralegal to handle family, humanitarian, and business law matters.
    • Silvina prefers a trial period for new hires to ensure reliability before committing to the long term.
    • They decided to pause hiring a virtual lawyer and prioritize the paralegal position first.

  • Local Service Ads (LSAs) Setup Is Underway
    Lexlee and Mateo are initiating LSAs with Colleen Ras guiding the process. The first steps include eligibility checks and background verification.
  • Primary Location: Carlsbad + 10 Service Areas
    The law firm will use Carlsbad as the primary location. Mateo will identify and send 10 surrounding service areas for targeting immigration clients in North County.
  • Background Check Required Before Launch
    Lexlee needs to complete the background check (typically takes 24 hours) as part of the Google LSA eligibility process.
  • Access and Collaboration
    Colleen may need access to the Google Business Profile or the firm's marketing account to assist with optimization directly.
